Terms & Conditions

Last updated: April 26, 2026.

ZidBit Clinic OS is an independent product built by a small team. These terms are written to be fair and clear — not to trap you in fine print. By using the platform, you agree to what's written below. If anything is unclear, just reach out.

1. Account Responsibility

You're responsible for keeping your login credentials secure and for everything that happens under your account. Please make sure the people you give access to are authorized to use the platform on behalf of your clinic. If you suspect unauthorized access, let us know through the platform right away.

2. Refund & Cancellation Policy

ZidBit Clinic OS is a subscription-based platform. Here's how billing works:

  • No Refunds: All payments are final and non-refundable. We don't offer pro-rated refunds for partially used periods.
  • Cancellation: You can cancel anytime from your dashboard. Your access continues until the end of the current billing period.
  • Free Trial: We offer a 30-day free trial so you can properly evaluate the platform before paying. The first payment after the trial is non-refundable.

Use the trial period to make sure ZidBit is the right fit for your clinic before subscribing.

3. Your Data

Your data belongs to you. Everything your clinic enters into ZidBit — patient records, appointments, notes — remains your property. We don't claim ownership over it and we don't use it for anything beyond running the platform for you.

If you cancel, you'll have 30 days to export your data as CSV from the dashboard. After that window, data is permanently deleted. We're not able to recover it after deletion, so please export before you go.

4. Acceptable Use

Pretty simple — use the platform for its intended purpose: managing your clinic. Please don't:

  • Use it for anything illegal or that violates patient privacy laws.
  • Share login access with people outside your clinic.
  • Try to hack, reverse-engineer, or exploit the platform.
  • Resell or repackage access to ZidBit as your own product.

5. Service Availability

We aim for maximum uptime, but we're a small team and can't guarantee the platform will always be available. Maintenance or unexpected issues may occasionally cause downtime. We'll do our best to keep you informed through the platform's notification channel when something is planned. We're not liable for losses caused by outages, but we'll always work to resolve issues as fast as we can.

6. Medical Disclaimer

ZidBit Clinic OS is a clinic management tool — it helps you organize and run your clinic. It does not provide medical advice, diagnoses, treatment recommendations, or clinical decision support of any kind. All clinical decisions are the sole responsibility of the qualified healthcare professionals at your clinic. ZidBit is not liable for any medical outcomes resulting from use of the platform.

7. Intellectual Property

The ZidBit Clinic OS platform — its design, code, and branding — belongs to ZidBit. Your subscription gives you a licence to use it for your clinic's operations. You can't copy, reproduce, or redistribute the platform itself.

8. Limitation of Liability

ZidBit is an independent product. Our total liability for any claim related to the platform is capped at the amount you paid us in the 3 months before the claim.

We're not liable for indirect losses — lost revenue, lost data due to your own actions, or consequential damages. We'll always try to help, but we can't take on unlimited responsibility as a small product.

9. Termination

We reserve the right to suspend or terminate accounts that seriously violate these Terms, engage in fraud, or have unpaid balances. We'll give reasonable notice through the platform before taking action unless there's an urgent reason not to. Upon termination, your data access follows our 30-day retention window described in the Privacy Policy.

10. Governing Law

These Terms are governed by the laws of India, including the IT Act, 2000 and the DPDP Act, 2023. Any disputes will be handled under Indian jurisdiction. If you're using the platform from another country, you're responsible for ensuring your own local compliance.

11. Changes to These Terms

If we update these Terms in a meaningful way, we'll notify you through the platform's notification channel before the changes kick in. Continuing to use ZidBit after that means you accept the updated Terms. If you don't agree, you can cancel your subscription before the changes take effect.
