For multi-specialty polyclinics, day-care surgery centers, nursing homes, and admitted-care hospitals, ZidBit expands beyond outpatient management into a complete Hospital Management System (HMS).
Accessible by: Admin, Doctor, Inpatient Nurses, Pharmacy Staff, Billing
1. Inpatient Department (IPD) Management
When a patient requires admission for observation, post-operative recovery, or intensive care, the IPD module coordinates their entire hospital journey.
A. Wards & Bed Management (/dashboard/ipd/beds)
Hospital administrators organize beds into physical wards:
- Ward Types: General Ward, Semi-Private, Deluxe Private, Day Care, Post-Op Recovery, and Intensive Care Unit (ICU).
- Live Bed Status Grid: Color-coded visual matrix:
- 🟢 Available: Ready for patient admission.
- 🔴 Occupied: Patient admitted (displays patient name, age, attending doctor, and admission day count).
- 🟡 Under Cleaning / Sanitization: Post-discharge room turnover in progress.
- ⚪ Maintenance: Bed temporarily out of service.
B. Patient Admission Workflow (/dashboard/ipd/admissions)
Patients can be admitted from the OPD consultation room, emergency triage, or as a planned surgical admission:
- Click + Admit Patient.
- Select the patient record.
- Choose the Admitting Consultant and Admitting Diagnosis.
- Select an available Ward and Bed Number.
- Initial Deposit: Record an advance admission deposit (Cash/UPI/Card).
- Click Confirm Admission.
- The patient's bed immediately turns red on the bed board, and the patient is enrolled into the live Nursing Station.
C. Nursing Station & Daily Care (/dashboard/ipd/nursing-station)
The Nursing Station is the active control room for ward nurses and duty medical officers (RMOs):
- Regular Vitals Charting: Record 2-hourly or 4-hourly temperature, blood pressure, pulse, SpO2, and fluid input/output (I/O balance).
- Medication Administration Record (MAR): Ward nurses see prescribed inpatient medications, mark each dose as Administered with timestamps, and flag any omitted medications.
- Doctor Round Notes: Attending consultants record daily progress notes, order bedside procedures, or adjust IV fluid rates during morning and evening rounds.
D. Discharge Process & Clinical Summary
When the patient is clinically stable for discharge:
- The doctor clicks Initiate Discharge and completes the Discharge Summary:
- Date and Time of Admission & Discharge
- Final Diagnosis
- Chief Clinical Complaints on Presentation
- Hospital Course & Treatment Summary (procedures performed, surgeries, IV antibiotics)
- Condition at Discharge (e.g., Clinically stable, afebrile, wound healthy)
- Discharge Medications with dosage and duration
- Diet, Activity, and Wound Care Instructions
- Follow-up Review Date and Emergency Warning Signs
- Comprehensive Hospital Billing: The billing desk reviews bed charges (automatically calculated per day), nursing fees, doctor visit charges, pharmacy consumables, and lab fees.
- Once the invoice is settled, the nurse marks the bed as Vacated, queuing it for housekeeping sanitization.
2. Hospital Pharmacy & Inventory (/dashboard/pharmacy)
The Pharmacy module manages medication dispensing, stock replenishment, batch expiration tracking, and procurement.
A. Pharmacy Point of Sale (POS) Dispensing (/dashboard/pharmacy/pos)
Designed for high-speed dispensing at the hospital counter:
- Fetch Active Prescriptions: Type the patient's mobile number or token. The doctor's electronic prescription loads instantly.
- Barcode Scanning: Scan medication strips with any standard USB/Bluetooth barcode scanner to pick the exact batch and deduct inventory.
- Generic Substitution: If a branded drug is out of stock, the pharmacist can search by active salt composition (e.g., Paracetamol 650mg) to dispense an approved generic equivalent.
- Direct Sale: Dispense OTC medicines directly to walk-in retail customers.
B. Inpatient (IPD) Ward Medication Requests (/dashboard/pharmacy/ipd-orders)
- Ward nurses request daily medication doses directly from the Nursing Station.
- The pharmacy receives a live order ticket, picks the items, and dispatches them to the ward nurse with an electronic transfer record.
- Charges are automatically billed to the patient's running IPD hospital invoice.
C. Real-Time Inventory & Batch Expiry Tracking (/dashboard/pharmacy/inventory)
- Stock Levels: Real-time visibility into quantities on hand across all tablets, syrups, injectables, and surgical consumables.
- Low-Stock Alerts: Automatically flags items falling below your minimum re-order threshold.
- Batch & Expiry Monitoring: Highlights batches expiring within 30, 60, or 90 days. The system automatically adheres to FEFO (First Expired, First Out) to minimize medication wastage.
D. Purchase Orders & Vendor Management (/dashboard/pharmacy/purchases)
- Maintain vendor profiles, GST numbers, and payment terms for pharmaceutical distributors.
- Create Purchase Orders (PO) and log incoming stock via Goods Receipt Notes (GRN).
- Costs and purchase prices update inventory valuation automatically.
