🏥 Visits & Queue

A Visit is the central record of every patient encounter at your clinic. Every appointment, consultation, invoice, and follow-up is tied to a single visit — giving you one place to see the full patient journey from check-in to payment.

Accessible by: Admin, Receptionist, Doctor


What Is a Visit?

When a patient arrives at the clinic, a visit is created (either from a scheduled appointment or as a walk-in). The visit tracks the patient through every step:

Check-in → Consultation → Payment → Follow-up / Referral → Completed

Each step has a clear status so your whole team knows where the patient is at any moment.


Visit Statuses

🔵 Checked InPatient has arrived and is waiting to be seen
🟡 In ConsultationDoctor has started the consultation
🟠 Awaiting PaymentConsultation is done; invoice is pending
🔁 Follow-up ScheduledVisit complete; a follow-up appointment has been booked
➡️ ReferredPatient referred to another provider or specialist
CompletedAll steps done; visit fully closed

Today's Queue

In the sidebar, click Visits to open the queue view. This shows all active visits for today in a live list, colour-coded by status.

From the queue you can:

  • See the current status of every patient at a glance
  • Click any row to open the full visit detail
  • Track how long patients have been waiting

The Today's Queue widget on the Dashboard shows the same information without leaving the home screen.


Visit Detail Page

Click any visit (from the queue or from a patient profile) to open its detail page. The detail page shows the complete picture for that encounter:

How Visits Relate to Appointments

Every scheduled appointment creates a visit when the patient checks in. Walk-in patients can also have a visit created directly, without a prior appointment.

Once a visit exists, the appointment and consultation are both visible within it — you don't need to navigate between separate sections.


Visit History

To see all past visits for a patient, open their profile and go to the Timeline tab. Every visit appears in chronological order alongside consultations, vitals, invoices, and documents.


Tips

  • Start your day by checking the Today's Queue on the Dashboard — it shows everything active at a glance.
  • Use Visit Detail to review a patient's full encounter before making decisions, rather than jumping between separate sections.
  • Visits stay in the history permanently — they are the authoritative record of each patient encounter.
